People Operations Assistant

JOB SUMMARY
Designory is seeking a collaborative, critical thinker to join our growing People Operations team. As a department, People Ops values a “be Human to help Humans” mentality, independence, and communication that is consistent, empathetic, and effective across our diverse employee population. This position will directly support our headquarters in Long Beach, CA, but will also have a key role in managing employees across North America.

This position will assist in the following areas (high-level):

  • Administration, Systems, & Reporting Own and manage all department forms, auditing documents, employee paperwork & files, as well as own and manage the employee databases and HRIS
  • Onboarding/Offboarding Carry out new hire on-boarding/off-boarding, including new hire orientation, new hire check-ins, paperwork, and scheduling
  • Intranet Manage People Ops updates to the company intranet, as needed
  • Paid Time Off Manage our PTO Program
  • Day-to-Day Employee Support Know a little bit of everything - benefits, recruiting, etc. - to be able to answer everyday employee questions or direct to proper parties
  • Company Events Assist with social activities, vendor partnerships, and give-back opportunities

RESPONSIBILITIES - What does success look like?

During the 1st Month:

  • Get acquainted with the organization as a brand and its employees at all levels
  • Learn our internal processes within our department (new hire notices, term notices, performance review process, etc.)
  • Get familiar with company tools such as Reach, AX, Microsoft Teams, Outlook, etc.
  • Filing employee paperwork and I-9s

Within 3 Months:

  • Have a grasp on our basic department processes, interactions with other departments, and company policies
  • Support recruiting/onboarding administration
  • Begin to own all paperwork, employment verifications, and PTO requests
  • Shadow People Ops Manager on new hire orientations
  • Learn how to manage hires/terms/changes in the employee database (HRIS)
  • Learn how to manage our PTO system
  • Begin assisting with company events


Within 6 Months:

  • Own all paperwork, employee verifications, and Paid Time Off requests
  • Own and manage the employee database (HRIS) & PTO system
  • Lead new hire orientation and off-boarding process
  • Establish relationships with employees
  • Shadow People Ops manager with select employee issues & conflict resolution
  • Learn how to fill out Unemployment Claims & Benefit Audits
  • Manage job postings

Within 12 Months:

  • Support the People Ops Manager with the internship program
  • If needed, recruit for any open junior level positions with manager’s support
  • Be the subject matter expert on all People Ops processes and company policies
  • Ability to communicate effectively and consistently across varying levels and people
  • Provide day-to-day employee support, answering all frontline questions or directing to appropriate parties
  • Manage Unemployment Claims and Benefit Audits
  • Use your unique perspective to begin identifying areas for improvement in our practices and capabilities

QUALIFICATIONS

  • At least 1-2 years related HR/People Operations experience and/or training
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint; Google Drive, Sheets, Docs, Slides
  • Strong server and database skills
  • Critical, independent thinker who is equally as collaborative
  • Exhibits a high stand of customer service and people-first attitude
  • Excellent organizational skills both digitally and with hard copy paperwork
  • Confident, personable communicator
  • Strong problem-solver & resourceful
  • Excellent at prioritizing and multitasking
  • Comfortable and adaptable with deadlines and last-minute changes
  • Not afraid to ask questions and flag potential mistakes
  • HRIS experience is a plus, particularly with SuccessFactors
  • Interest in Diversity, Inclusion, & Belonging is a plus
